What we collect

If you use the contact form, we collect the name, email address, phone number (if provided), company name (if provided), and message you send us. We use this only to respond to your enquiry.

AI assistant

Our site offers an optional AI assistant to help you describe your project. If you use it, we collect the email address you provide and the messages you send. When you submit the conversation, a transcript and a short AI-generated summary are emailed to us and stored so we can follow up. Please don't share sensitive personal information with the assistant — it's for scoping enquiries only.

To generate replies, your messages are sent to Anthropic (the company behind Claude), which processes them on our behalf and does not use them to train its AI models. See Anthropic's Privacy Policy for details. We may use your IP address to prevent misuse, and you can ask us to delete your conversation by emailing info@clrsoftware.co.uk.

How we contact businesses

We contact UK businesses about our software and AI development services. To do this, we compile business contact details from publicly available sources, including the Companies House public register (company name, number, registered address, SIC codes) and contact details published openly on company websites, such as general enquiry email addresses.

We only contact UK limited companies, LLPs and other incorporated businesses — this is business-to-business marketing, and we do not market to consumers or sole traders. Wherever possible we use general business addresses (for example info@ or enquiries@) rather than an address belonging to a named individual.

Our lawful basis for this is legitimate interests: promoting relevant professional services to businesses that may benefit from them. We have assessed this as proportionate — it uses only limited business contact information already published in public sources, and is unlikely to affect the rights of the individuals concerned.

You can opt out at any time using the unsubscribe link in any email, by replying to ask us to stop, or by emailing info@clrsoftware.co.uk. We keep a suppression list so that anyone who opts out is not contacted again, and you can ask us to delete the information we hold about you.

Marketing emails

If you receive a marketing email from us and click a link back to our site, we record that the link was clicked, and when, so we can see how our campaigns perform. You can stop receiving marketing emails at any time using the unsubscribe link in any marketing email.

Website analytics

We use Azure Application Insights to collect basic, aggregate statistics about how the site is used — such as which pages are loaded, how often, and how quickly they respond. These are counts of page loads, not records of individuals: they tell us how many times a page was viewed, not who viewed it, and we don't build a profile of you. The measurement happens on our server from the page requests themselves — we place no analytics cookies or tracking scripts in your browser. Your IP address is used only momentarily to derive an approximate region and is not stored in a form that identifies you.

Cookies

This site does not set tracking cookies. A single technical cookie may be set to store anti-forgery tokens for the contact form.

Storage and retention

Enquiries are delivered to our inbox by email and are kept only as long as needed to respond. The aggregate usage statistics described above are retained by Azure for a limited period and contain no enquiry content.

Business contact data used for the outreach described above is kept only while it remains relevant for that purpose, and is reviewed periodically. Records of opt-out requests are kept indefinitely so that we can continue to honour them.

Your rights

You can ask us to delete your enquiry by emailing info@clrsoftware.co.uk. You can also object to receiving marketing from us, or ask us to remove business contact details we hold about you, at the same address.
